The Opportunity
We are looking for a highly organized, tech-savvy Operations and Systems Specialist to streamline our daily operations and improve our internal systems. This is more than a traditional administrative role: you will design and refine the digital backbone of how our studio runs.
If you enjoy mapping workflows, building structure out of chaos, connecting tools, and making processes run smoother and faster, this role gives you the chance to build and own key systems in a growing design studio, all while working remotely during Eastern Time hours.
What You'll Do
- Own and improve our Monday.com setup by organizing boards, creating workflows, and ensuring projects and tasks move smoothly from lead to completion.
- Streamline how our core tools work together across project management, CRM, email, QuickBooks, quoting tools, and Microsoft 365.
- Identify, build, and maintain automations for repetitive tasks to improve team efficiency and reduce manual errors.
- Support project tracking and follow-through by keeping tasks updated, documentation organized, and priorities visible for the owner and team.
- Assist with estimates, invoices, client records, job updates, and other administrative and operations tasks that keep projects and finances on track.
What Success Looks Like
- Within 3 months, Monday.com boards are clearly organized, consistently used by the team, and reflect accurate project statuses and priorities.
- Within 6 months, key processes (such as lead intake, quoting, project kickoff, and invoicing) are mapped, documented, and supported by checklists, templates, and SOPs.
- Automations and tool connections reduce manual data entry and missed steps, freeing up the owner and team to focus more on design and client work.
- Communication between tools, team members, clients, and vendors feels structured and predictable, with clear updates on priorities, blockers, deadlines, and next steps.
What We're Looking For
- Experience in operations, project coordination, executive assistance, systems administration, or a similar role where you managed workflows and tools.
- Strong experience with Monday.com or a similar project management platform, with the ability to design and maintain effective boards and automations.
- Comfort working with and connecting tools such as QuickBooks, CRM platforms, Microsoft 365, Teams, quoting software, email tools, and automation platforms.
- Highly organized, detail-oriented, process-driven, and able to work independently in a fast-paced environment with direct feedback and clear expectations.
